Consolidated invoicing

Accounting rolled hundreds of store invoices into one bill per customer with an Excel macro. I replaced it with a rules engine inside the ERP that builds each bill on schedule, walks a clerk through checking it, sends the PDF and Excel file, and applies one payment across every invoice.

What it changed

  1. 01

Checked against accounting's own past bills: 660 invoices across 5 brands matched to the cent, including a 65/35 cost split.

  2. 02

One payment covering 274 invoices across 3 bill-to customers is applied in about a minute.

  3. 03

A dry run showed the first weekly run would re-bill 1,632 old invoices worth $619K. Per-rule start dates stopped it before go-live.
